Our AI quoting tool PM QuoteFlow is already in productive use in mechanical engineering: it reads STEP and DXF files and turns them into a traceable calculation within minutes. We are happy to share further manufacturing references in a personal conversation – not every client wants to be named publicly.

One system for quoting, production and service

In mechanical engineering the margin is decided long before delivery – at the quoting stage. Anyone writing quotes from experience and gut feeling gives away money on some orders and loses others to the competitor who simply replied faster.

On top of that comes daily reality: bills of materials get retyped from CAD, production dates are kept in Excel, spare part enquiries are handled by e-mail. Every interface that exists only in the heads of individual employees costs time – and becomes a risk as soon as someone is on holiday or leaves the company.

PixelMechanics connects quoting, production, purchasing, service and sales into one continuous system built on Odoo and HubSpot – extended by AI-assisted quoting and a link to your CAD/PLM data. We have been digitalising mid-sized businesses and industry since 2008, hosted in Germany and GDPR-compliant.

Digital end to end – from enquiry to spare part

From the first quote through the manufacturing order to the spare part sale, we digitalise your processes end to end – built on Odoo and HubSpot, extended by AI-assisted quoting and interfaces to CAD and PLM. All data comes together in one central data platform, so double entry disappears and you can evaluate margin, on-time delivery and capacity utilisation at any moment.

Quoting & sales: AI-assisted quoting, offers, CRM, order processing

Engineering & materials: bills of materials from CAD/PLM, variants, purchasing, inventory

Production: manufacturing orders (MRP), capacity, shop floor data, quality

Service & spare parts: maintenance, field service planning, spare part shop, customer portal

Finance: accounting, post-calculation, project controlling, reporting

You do not get off-the-shelf software, but an Odoo solution tailored to your production. Your concrete benefit: faster and more reliable quotes, noticeably less double entry and full transparency over deadlines, utilisation and margin. Because Odoo is open and modular, the solution grows with your company instead of forcing you into expensive special-purpose systems.

Your challenges in mechanical engineering – solved in practice

PM QuoteFlow – AI quote calculation from STEP and DXF files

Calculate quotes in minutes instead of days

PM QuoteFlow reads STEP and DXF files directly and derives material, machining times and costs from them. The AI learns from your own historical figures, so calculations stay consistent – and you can still review and adjust every line item yourself. Instead of letting quotes sit for days, you answer faster than your competitors.

Take bills of materials from CAD and PLM without retyping

We connect your engineering department to the ERP: bills of materials and item master data flow from CAD or PLM straight into manufacturing orders and purchasing. That does not just save typing – it removes the most common source of error in mechanical engineering: the gap between what was designed and what was actually purchased and built.

Production deadlines and capacity always in view

See on-time delivery coming – instead of finding out afterwards

Manufacturing orders, capacity and material availability sit in one system. You spot a looming delay while you can still react – not when the customer calls. Promised delivery dates are then based on the real load of your machines rather than on optimism.

Post-calculation: finally know what an order really cost

Booked hours, material and outsourced work are posted automatically against the order. Per project you see the difference between what was calculated and what was actually consumed – and therefore which assemblies and which types of customer really earn money. Those figures feed back into your quoting and make the next offer better.

HubSpot CRM – running service and spare parts business in a structured way

Spare parts and service as predictable additional business

Maintenance contracts, service jobs and spare part enquiries run through CRM and ERP in a structured way instead of through individual mailboxes. With machine history and an optional spare part shop, reactive service becomes a plannable business with a stable margin – often the most profitable area in mechanical engineering.

Your engineering data stays your engineering data

Drawings, bills of materials and calculations are your company's capital. That is why we rely on a European software stack, hosting in Germany or on your own premises and – on request – exclusively European AI models. Your data does not train anyone else's models.

Frequently asked questions

Is Odoo suitable for custom machinery and one-off production?

Yes. Odoo covers one-off and project-based manufacturing as well as series production. For custom machinery we work with order-specific bills of materials, project structures and running cost tracking, so even with a batch size of one you can see at any time where an order stands and how costs are developing.

Can you connect our CAD or PLM bills of materials to Odoo?

Yes. We connect CAD or PLM with Odoo so that bills of materials and item master data flow into manufacturing orders and purchasing without double entry. This removes the most common source of error: the gap between what engineering designed and what was actually procured.

How quickly does PM QuoteFlow produce a calculation?

PM QuoteFlow reads STEP and DXF files and turns them into a traceable calculation within minutes rather than hours or days. The AI learns from your own historical figures. Every line item remains visible and editable, so the decision stays with you.

Do we get a reliable post-calculation for each order?

Yes. Booked hours, material and outsourced work are posted automatically against the order. For each project you see planned versus actual and can tell which assemblies and customer types really deliver margin. Those findings feed back into your quoting.

How do you handle variants and configurations?

Through product variants and configurable bills of materials. Instead of maintaining a separate item for every version, you define attributes once and combine them. This keeps the item master lean and ensures that quoting, production and purchasing all use the same configuration.

Can we plan deadlines and capacity realistically?

Yes. Manufacturing orders, work centres, material availability and capacity sit in one system. Bottlenecks become visible while you can still react. Delivery dates are then based on the real load of your machines rather than on gut feeling.

Can a spare parts shop be connected to the ERP?

Yes. A customer or spare parts portal accesses item master data, prices and availability directly in the ERP. Your customers order independently, your back office is relieved, and the spare parts business becomes a predictable revenue channel with a stable margin.

Do we have to replace our existing ERP completely?

No. We start where the biggest leverage is and connect existing systems through interfaces. Many clients begin with quoting and sales and expand step by step into production, purchasing and service. That keeps the risk manageable and operations running.

How long does implementation take and what does it cost?

A clearly scoped entry project is usually productive within four to six weeks, at a fixed price and without a framework contract. The scope depends on how many areas you want to cover initially. In the free potential analysis we name effort and benefit concretely before you decide.

Where is our engineering and order data stored?

Hosted in Germany or, on request, in your own data centre, on a European software stack and GDPR-compliant. On request we use exclusively European AI models. Your data is not used to train models belonging to anyone else.
