ProcessFlow: The Digital Twin of Your Organization

Our own product turns process knowledge into part of the system: locations, machines, people, and processes in one digital twin – with controlled SOP approval, NIS2 documentation, and statutory equipment inspection management in a single tool. The foundation for process-driven Odoo ERP projects.

Process knowledge belongs in the system – not in people's heads and Word files

When only the shop foreman knows the process and the 2019 work instruction is sitting in a binder, every audit becomes a nail-biter and every ERP project a blind flight. ProcessFlow maps your organization as a digital twin – from the site through the machine down to the individual process step with a time estimate. Documented, versioned, approved.

ProcessFlow dashboard: digital twin of the organization with metrics on processes, SOPs, and time savings

The ProcessFlow dashboard in the test tenant: organizational structure, process metrics, KPI alerts, and measured time savings.

What ProcessFlow can do

Digital organization twin

Holdings, companies, locations, buildings, departments, teams, machines, vehicles, and people – as a structure, org chart, and map view. Every process is attached to the right place.

As-is, to-be, and SOP with approval workflow

Processes go through a controlled path: draft → review → approved SOP. With versions and history – you can always see what's currently valid and what's changed.

Optimization becomes measurable

Steps with time estimates, target-vs-actual comparison, and optimization status per step (improved, eliminated, merged). The time saved appears as a metric on the dashboard.

NIS2 module (Section 28 / Section 30 BSIG)

Applicability assessment plus ten documentation packages aligned with the minimum measures – from risk analysis to supply chain security. With coverage tracking, archive, and versioning.

Statutory equipment inspection module

Machines, vehicles, and equipment subject to mandatory inspection, with an inspection calendar, templates, digital inspection execution, reports, and defect management – compliance rate at a glance.

Multi-tenant and task-driven

Multiple companies on one platform, task management, roles and permissions, multilingual – built for grown SME structures.

From as-is process to approved SOP

This is what process work looks like in ProcessFlow: the powder coating process as a sequence of steps with timings, next to it the target variant, the SOP, and a comparison – plus the approval workflow that turns a draft into a binding work instruction.

NIS2 and statutory inspections: compliance in the same tool as your processes

Compliance documentation rarely fails due to a lack of will – it fails because it lives in separate folders alongside day-to-day business. In ProcessFlow, NIS2 evidence and statutory inspections are created right where your processes and machines are already documented anyway.

ProcessFlow NIS2 module: compliance overview with applicability assessment and ten documentation packages under Section 30 BSIG

NIS2 compliance overview: applicability assessment (Section 28 BSIG) and the ten documentation packages of the minimum measures (Section 30 BSIG).

ProcessFlow statutory inspection module: dashboard with compliance rate, equipment subject to inspection, and completed inspections

Statutory inspection module: compliance rate, equipment subject to inspection, inspections, and defects – instead of Excel lists and paper chaos.

Sven Werner, Head of Consulting & AI Advisory at PixelMechanics

“Most ERP projects don't fail because of the software, but because nobody can describe their own processes. With ProcessFlow, we clarify the process first – and only then implement the ERP along documented processes. That's the difference between a transition and chaos.”

The foundation of process-driven ERP projects

ProcessFlow is our answer to the most common cause of failed ERP implementations: undocumented processes. Document and approve first, then implement Odoo along those processes – so the ERP gets configured to fit your operation, not the other way around. ProcessFlow can be linked directly with Odoo ERP: documented processes, machines, and responsibilities sit right alongside the operational ERP data – process documentation and day-to-day business stay in sync. Operated on European infrastructure or on your own premises, in line with our Europe commitment.

Frequently asked questions about ProcessFlow

What is ProcessFlow – in one sentence?

ProcessFlow is the digital twin of your organization: locations, departments, machines, people, and processes in one system – with controlled SOP approval, NIS2 documentation, and statutory equipment inspection management in a single tool.

What sets ProcessFlow apart from Visio diagrams or Word instructions?

Diagrams and documents silently go out of date. In ProcessFlow, processes are living objects: with steps and timings, versions and history, an approval workflow (draft → review → approved SOP), and target-vs-actual comparison. Changes are traceable – and the time saved by your optimizations becomes measurable.

What exactly does the NIS2 module deliver?

It guides you through the applicability assessment under Section 28 BSIG and structures your documentation along the ten minimum measures under Section 30 BSIG – from risk analysis to incident handling to supply chain security. With a coverage overview, archive, and versioning, so you're always ready to report.

And the statutory inspection module?

All machines, vehicles, and equipment subject to mandatory inspection, with an inspection calendar, inspection templates, and digital inspection execution. Reports and defect management included – you see your compliance rate at a glance instead of chasing inspection dates in Excel.

How are ProcessFlow and an Odoo implementation connected?

ProcessFlow is our foundation for process-driven ERP projects: first as-is and to-be processes are documented and approved, then Odoo is implemented along those processes. That way we configure the ERP to fit your operation – not the other way around.

Where does ProcessFlow run – and who sees our data?

ProcessFlow is multi-tenant and runs on European infrastructure; operation on your own premises is possible – in line with our Europe commitment. Roles and permissions control who sees which areas and who is allowed to approve processes.

How long does it take to capture our processes?

A mid-sized company's core processes are usually captured in just a few workshop days – we model live, not after the fact. After that, the documentation keeps growing as part of everyday work instead of going stale.

Who maintains the processes after launch?

Your own departments – that's exactly what the interface is built for. Changes are versioned and traceable. On request, we take on maintenance as part of ongoing support.

Does ProcessFlow help with ISO certifications?

Yes. Documented, versioned processes with clear responsibilities are exactly what auditors want to see – whether ISO 9001, 27001, or NIS2. The module generates the evidence straight from the live system.

What does ProcessFlow cost?

A license plus a one-time setup fee, depending on user count and modules. After a short conversation, you'll get a concrete quote – and can start with a pilot area before committing.
